A demo booking and reception system for a fictional women's health clinic in Borrowdale, Harare: patients book on their phone, and the reception team works from one dashboard sharing the same live data.
Context
A demo we designed and built to show how a small clinic in Harare could take bookings without phone tag. The clinic, doctors and patients are fictional; the booking logic is real.
Design challenge
How do you make booking fast for patients on a phone, keep sensitive situations with a person, and stop reception from re-typing every WhatsApp request?
What we built
- Landing page with appointment types and set durations
- Six-step booking flow using real availability
- Urgent-help handoff that routes patients to a person instead of the booking flow
- Confirmation and reminder messages, with WhatsApp message previews
- Self-service rescheduling and cancellation
- Reception dashboard for the day's appointments
- Paste a patient message and AI drafts the booking for review
Key decisions
- Every part shares one live data set, so a cancellation immediately reopens the slot
- AI drafts bookings; a receptionist always confirms them
- Urgent needs leave the automated flow and go to a person

HerFlow Reception is an admin and scheduling tool. It does not give medical advice, triage or diagnose, and the demo contains no real patient data.
