AI automation and WhatsApp systems for businesses in Zimbabwe

Creative Hauz builds WhatsApp booking and enquiry flows, custom CRMs and dashboards for Zimbabwean businesses, designed around EcoCash, InnBucks and ZiG/USD dual pricing. Systems are built mobile-first and tolerate load-shedding and patchy data, and every project is led remotely by founder Linda Kisimisi.

How Zimbabwean businesses actually operate

For most small and medium businesses in Zimbabwe, WhatsApp is the front desk. Customers ask for prices, send proof of payment, book appointments and chase deliveries in the same chat thread, often on a single shared phone that the owner or one staff member manages. Websites and email exist, but the real pipeline lives in WhatsApp chats, voice notes and screenshots.

That works until the business grows. Enquiries get missed when the phone is with someone else, nobody can see which customer has paid, and prices have to be quoted in both US dollars and ZiG, sometimes with different figures for cash, mobile money and bank transfer. Reconciling all of that at the end of the day usually means scrolling back through chats and a notebook.

Our work in Zimbabwe starts from that reality. We do not ask a business to abandon WhatsApp or move customers onto an app they will not download. We put structure behind the chat: a shared inbox, a simple record of each customer and order, and a dashboard that shows what is booked, paid and outstanding.

Local payments: EcoCash, InnBucks and ZiG/USD

Payment handling is where most off-the-shelf tools fall short in Zimbabwe. We design workflows around the way money actually moves:

EcoCash
Customers pay to a merchant code or number and send a confirmation message or screenshot. We build a step that captures the reference, matches it to the booking or order and flags anything that does not reconcile, so staff check exceptions instead of every payment. Our EcoCash Monitor build shows this working from payment confirmation SMS.
InnBucks
Similar treatment for InnBucks payments: the reference is recorded against the customer, and unpaid or part-paid orders stay visible until someone confirms them.
ZiG and USD dual pricing
Price lists, quotes and invoices can hold both currencies, with the rate or rule you choose stored in one place, so a price change updates every message and document instead of being retyped.
Cash and bank transfer
Cash on delivery and bank transfers are recorded the same way, so the end-of-day view shows everything in one list regardless of how the customer paid.

What we automate in Zimbabwe

WhatsApp enquiries

Instant replies with prices, hours and FAQs, then a clean handover to a person for anything that needs judgement.

Bookings and reminders

Appointment requests captured from chat, confirmed against availability and followed by reminders to reduce no-shows.

Payment confirmations

Proof-of-payment messages logged against the right order, with unmatched payments flagged for review.

Order and delivery updates

Status messages when an order is ready, dispatched or delayed, sent from one place instead of individual phones.

Staff handoff

Conversations assigned to the right person, with the history visible, so a customer never has to repeat themselves.

Daily dashboards

One view of enquiries, bookings, payments and outstanding balances in both currencies.

Built for load-shedding and patchy data

Power cuts and expensive mobile data shape how software gets used. We design interfaces that load quickly on mid-range Android phones, keep screens light, and avoid features that need a constant fast connection.

Where a workflow has to keep running during an outage, such as field visits or stock counts, we use offline-first patterns: work is saved on the device and synced when the connection returns. Our Hutano case study shows that approach in a health-worker context.

Data protection

Cyber and Data Protection Act

Zimbabwe's Cyber and Data Protection Act sets rules for how personal information is collected, stored and shared, and gives people rights over their data. In plain terms, businesses are expected to collect only what they need, keep it secure and be clear with customers about how it is used.

We design those principles into every build: consent wording at the point where a customer first shares details, role-based access so staff only see what their job needs, data minimisation in forms and chat flows, and records that can be found and deleted on request. This is good practice built into the system, not legal advice, and we recommend confirming your obligations with a qualified adviser.

Questions from businesses in Zimbabwe

Do you work in ZiG and USD?

Yes. Price lists, quotes and dashboards can hold both ZiG and USD, with the conversion rule stored in one place so you change it once and every message and document updates.

Can you connect WhatsApp to EcoCash or InnBucks payments?

We build workflows that capture EcoCash and InnBucks payment references from WhatsApp, match them to the right booking or order and flag anything that does not reconcile. The exact level of automation depends on the merchant setup you have, which we confirm during the audit.

Will it work during load-shedding?

Systems are designed mobile-first and lightweight. Where a task must continue offline, we use offline-first patterns that save work on the device and sync when power or data returns.

Do you build in-person or remote?

Remote. Every project is founder-led by Linda Kisimisi, with calls over WhatsApp or video and a documented handover and training at the end.

Do we have to stop using our WhatsApp number?

No. We work with your existing customer-facing number where possible and explain the options, including moving to the WhatsApp Business API, before anything changes.
