AI automation and WhatsApp systems for businesses in South Africa

Creative Hauz builds WhatsApp enquiry and booking systems, custom CRMs and dashboards for South African businesses, connected to payment tools such as PayFast, Yoco, Ozow and EFT. Every build is designed with POPIA principles in mind and tolerates load-shedding, and projects are led remotely by founder Linda Kisimisi.

How South African businesses actually operate

South African SMBs tend to run on a mix of tools: a website with an enquiry form, a WhatsApp Business number, a card machine at the counter, an online payment link for deposits and a spreadsheet or accounting package behind it all. Each tool works; the problem is the gaps between them.

A typical example is a salon, clinic or service company that takes bookings from WhatsApp, Instagram and phone calls, collects deposits through a payment link and records card payments on a separate device. Someone then has to match deposits to bookings, chase no-shows and update the books by hand.

Our job is to close those gaps. We connect the channels customers already use to one record of each client and job, so bookings, deposits, reminders and follow-ups happen in the right order without a person copying data between screens.

Local payments: PayFast, Yoco, Ozow and EFT

We design around the payment tools South African customers already trust:

PayFast
Payment links and notifications used to confirm deposits or full payments, updating the booking or order automatically when a payment notification arrives.
Yoco
Card and online payments recorded against the right customer, so in-person and online takings appear in the same dashboard.
Ozow
Instant EFT payments treated like any other confirmed payment, with the reference stored on the client record.
Manual EFT
For bank transfers, we build a proof-of-payment step and a reconciliation view, so staff confirm exceptions rather than checking every statement line.

What we automate in South Africa

WhatsApp and web enquiries

One inbox for WhatsApp and website leads, with instant first replies and routing to the right person.

Bookings and deposits

Booking requests linked to a deposit payment, with the slot only confirmed once payment arrives.

Reminders and rescheduling

Automated reminders and an easy way to reschedule, reducing no-shows and phone tag.

Payment confirmations

Customers get a confirmation as soon as a payment notification is received.

Job and order updates

Status messages for quotes, jobs and deliveries sent from a shared system.

Staff handoff

Complex or sensitive conversations passed to a person with the full history attached.

Designed with load-shedding in mind

Power interruptions affect when staff can work and how reliable on-premise equipment is. We favour cloud-hosted systems that keep receiving WhatsApp messages and payment notifications even when the office is dark, so nothing is lost while the power is off.

Staff-facing screens are kept light enough to use on a phone over mobile data, and where offline work is genuinely needed we use save-and-sync patterns.

Data protection

Protection of Personal Information Act (POPIA)

POPIA governs how South African businesses process personal information. In plain terms, it expects you to have a lawful reason for collecting data, collect only what you need, keep it secure, tell people how it is used and respect requests to access or correct it. Direct marketing over electronic channels, including WhatsApp, has its own consent expectations.

We design for that from the start: clear opt-in wording before marketing messages, role-based access so staff see only what they need, minimal form fields and the ability to find, export or delete a client's records. This is a design approach, not legal advice; your Information Officer or legal adviser should confirm your specific obligations.

Questions from businesses in South Africa

Can you connect WhatsApp bookings to PayFast or Yoco deposits?

Yes. We build flows where a WhatsApp booking request generates a payment link, and the booking is confirmed automatically when the payment notification arrives. The exact setup depends on your merchant account, which we review in the audit.

Is the system POPIA compliant?

We design with POPIA principles built in, such as consent, data minimisation and access control. Compliance also depends on your own policies and processes, so we recommend confirming your obligations with your Information Officer or legal adviser.

What happens to messages during load-shedding?

Because the systems are cloud-hosted, WhatsApp messages and payment notifications are still received and logged during outages, ready for staff when power returns.

Do you build in-person or remote?

Remote. Projects are founder-led by Linda Kisimisi over video and WhatsApp, with documented handover and training.

Can you handle manual EFT payments?

Yes. We add a proof-of-payment step and a reconciliation view so staff only review payments that do not match automatically.
